RingScore Systems Inc. ("RingScore," "we," "us," or "our") respects the privacy of athletes, officials, judges, supervisors, coaches, club representatives, event organizers, governing-body administrators, spectators, customers, and other individuals whose personal information is processed through the RingScore platform.

This Privacy Policy explains how RingScore collects, uses, discloses, stores, protects, and otherwise handles personal information in connection with our websites, applications, event-management tools, scoring systems, administrative portals, public event experiences, audience features, support services, and related products and services collectively referred to as the "Services."

RingScore is a digital scoring, competition-management, and event-data platform designed primarily for amateur boxing and combat sports. Because the platform connects individuals and organizations at different levels of the sport, information entered into RingScore may be accessible to authorized clubs, event organizers, provincial or territorial sport organizations, national governing bodies, officials, or other authorized users depending on their role and the applicable event or organizational relationship.

This Privacy Policy should be read together with RingScore's Terms of Service and, where applicable, the agreements between RingScore and the organization through which you participate in the Services.


1. Who We Are

RingScore is operated by:

Ontario, Canada

RingScore Systems Inc. is responsible for the personal information under its control and has designated a Privacy Officer to oversee its privacy practices.

You may contact the Privacy Officer with questions about this Privacy Policy, the handling of your personal information, or a request relating to your personal information.


2. Scope of This Privacy Policy

This Privacy Policy applies when you:

  • visit a RingScore website;
  • use the RingScore platform;
  • use an organizer, club, provincial, national, or administrative portal;
  • use the Judge Portal or Supervisor Portal;
  • participate in an event administered through RingScore;
  • have information entered into RingScore by a club, event organizer, governing body, or authorized official;
  • appear in an event, bout, result, scorecard, competition record, or other record maintained through RingScore;
  • participate in Audience Mode or another spectator experience;
  • interact with a public RingScore event page or scoreboard;
  • communicate with RingScore for support, training, sales, implementation, or other purposes; or
  • otherwise interact with the Services.

Some personal information may be collected from an organization rather than directly from the individual concerned. For example, an athlete's competition information may be entered by a club, event organizer, provincial or territorial sport organization, or national governing body.

Where an organization uses RingScore to manage information about its athletes, officials, members, or events, that organization may also have its own privacy obligations and privacy policies. RingScore's Privacy Policy does not replace the obligations of those organizations.


3. What We Mean by Personal Information

For purposes of this Privacy Policy, "personal information" means information about an identifiable individual or information that can reasonably be associated with an identifiable individual.

The sensitivity of personal information varies. Certain information processed through RingScore, including injury information and other health-related information, may be considered sensitive and is handled with additional care.

Information that has been aggregated or processed so that it can no longer reasonably identify an individual may not be treated as personal information where permitted by applicable law.


4. Information We Collect

The personal information RingScore collects depends on how an individual or organization interacts with the platform.

4.1 Account and Identity Information

When an account is created or a person is added to RingScore, we may collect or maintain information such as:

  • name;
  • email address;
  • account identifier;
  • organization or club affiliation;
  • province or territory;
  • role within an organization or event;
  • administrative permissions;
  • approval status;
  • login and authentication information;
  • information received through Google Sign-In when that option is used;
  • account creation and activity timestamps; and
  • other information needed to establish and manage access to RingScore.

RingScore currently uses Clerk for certain authentication services, including Google Sign-In.

The exact information available to a user depends on their role and organizational permissions.


4.2 Athlete and Competition Information

Athlete information is generally entered into RingScore by clubs, event organizers, provincial or territorial organizations, governing bodies, or other authorized administrators rather than directly by athletes.

Depending on the event and features being used, this information may include:

  • athlete name;
  • club or gym affiliation;
  • competition category;
  • weight class;
  • corner assignment;
  • event participation;
  • bout or matchup information;
  • bout number;
  • competition history;
  • result or decision;
  • stoppage information;
  • point deductions;
  • other competition-related information; and
  • identifiers or participant information supplied by an authorized organization where required for event administration.

Not every event or organization collects every category listed above.


4.3 Judge and Official Information

RingScore maintains records relating to judges and other officials to operate events and maintain structured officiating records.

These records may include:

  • name;
  • official or licence identifier, where provided;
  • organization or jurisdiction;
  • event assignments;
  • ring or bout assignments;
  • judge position;
  • scorecards;
  • round scores;
  • scoring submissions;
  • submission timestamps;
  • tiebreaker selections;
  • event history;
  • account or credential information;
  • internal performance metrics and analytics; and
  • other information relevant to officiating assignments and event administration.

Judge information is used for event operations, official recordkeeping, governing-body oversight, training, analytics, and related legitimate purposes.

Judge names, individual judge analytics, internal judge statistics, licence identifiers, and internal judge profiles are not made publicly available through RingScore's standard public-facing features.

Authorized supervisors, event administrators, provincial or territorial organizations, national governing bodies, and RingScore personnel may have access to judge information according to their permissions and authority.


4.4 Scoring and Official Event Records

RingScore processes information generated during competitions, including:

  • round-by-round scores;
  • scorecard totals;
  • decisions;
  • tiebreaker selections;
  • point deductions;
  • stoppage information;
  • result approvals;
  • corrections;
  • timestamps;
  • event and bout status;
  • supervisor actions; and
  • related event records.

These records may become part of the historical record of an event.

Some information is maintained even after a user account is closed or an individual's active relationship with an organization ends because deleting an account does not necessarily erase a legitimate competition or officiating record.

RingScore allows authorized event supervisors to record fighter injuries during an event.

Depending on the information entered by the authorized user, an injury record may include:

  • the injured athlete;
  • the round in which the injury occurred;
  • injury type, such as:
    • cut or laceration;
    • concussion or head trauma;
    • hand or wrist injury;
    • eye or orbital injury;
    • nose injury;
    • rib or body injury;
    • leg or knee injury;
    • another identified injury;
  • severity classification;
  • optional notes; and
  • information indicating that an injury was confirmed or assessed by authorized ringside personnel.

RingScore records this information as part of event administration and data collection. RingScore does not independently diagnose injuries and does not replace the judgment of a physician, ringside doctor, medical professional, governing body, or other authorized official.

Injury information:

  • is treated as sensitive information;
  • is not displayed through RingScore's standard public event pages;
  • is not used for advertising or marketing;
  • is accessible only to users who have an authorized operational, administrative, governing, or other legitimate reason to access it;
  • may be retained as part of an event or athlete record when reasonably necessary; and
  • may be used to produce authorized safety, event, or statistical reporting where appropriate.

If health-related information is used for a materially different purpose, RingScore will obtain any additional authorization required by applicable law.


6. Club and Organization Directory Information

RingScore maintains information about boxing clubs, gyms, organizations, and their representatives within the administrative platform.

Depending on the information available, these records may include:

  • organization or club name;
  • contact person's name;
  • email address;
  • telephone number;
  • mailing or business address;
  • city;
  • province or region; and
  • organizational affiliation.

This directory is intended to support legitimate platform administration, event operations, organizational relationships, communications, matchmaking or competition workflows, and related RingScore activities.

The administrative club directory is not a public directory through RingScore's standard public-facing website.

Access is restricted to authorized administrative users according to their role and permissions.

Directory information may be provided by the relevant club or organization, by authorized administrators or governing bodies, or through other lawful sources.


7. Audience Mode and Spectator Information

RingScore may offer Audience Mode or similar spectator features that allow members of the public to interact with an event.

Depending on the feature, RingScore may collect:

  • a nickname or display name;
  • optional email address;
  • audience scoring selections;
  • bout or round selections;
  • participation history;
  • timestamps;
  • event interactions; and
  • technical information associated with the session.

Providing an email address for participation does not automatically mean that the individual has consented to receive marketing from RingScore or from the event organizer.

Where marketing or lead sharing is offered, RingScore intends to distinguish between:

  1. participation in the audience experience;
  2. permission to provide contact information to the event organizer for marketing or follow-up; and
  3. permission to receive marketing directly from RingScore.

These choices may be presented separately.

RingScore does not sell Audience Mode participant information to data brokers.


8. Technical, Device, and Usage Information

When someone accesses the Services, RingScore and its technology providers may automatically process technical information needed to operate, secure, diagnose, and improve the platform.

This information may include:

  • IP address;
  • browser type;
  • operating system;
  • device type;
  • approximate geographic information derived from an IP address;
  • date and time of access;
  • pages or platform functions accessed;
  • authentication and session information;
  • request and error information;
  • security logs;
  • application activity; and
  • other technical information associated with use of the Services.

RingScore uses this information for purposes such as authentication, cybersecurity, troubleshooting, platform reliability, abuse prevention, debugging, service improvement, and operational monitoring.


9. Cookies and Similar Technologies

RingScore may use cookies and similar technologies required to operate the Services.

These may be used to:

  • authenticate users;
  • maintain secure sessions;
  • remember user preferences;
  • protect accounts and platform functionality;
  • prevent abuse;
  • support application performance; and
  • maintain necessary platform functionality.

Some cookies or similar technologies may be placed by service providers involved in authentication, hosting, or delivery of the Services.

If RingScore introduces non-essential analytics, advertising, or similar tracking technologies that require additional consent, RingScore will provide appropriate notice and consent controls where required.


10. How We Collect Personal Information

RingScore may receive personal information:

Directly from you

For example, when you:

  • create an account;
  • contact RingScore;
  • participate in Audience Mode;
  • submit information through a RingScore form; or
  • communicate with support.

From a club or event organizer

A club or organizer may enter information about athletes, officials, events, bouts, or organizational contacts.

From a provincial or territorial organization

An authorized provincial or territorial organization may provide or maintain information about clubs, events, athletes, officials, or competition records within its jurisdiction.

From a national governing body

A national governing body may provide information necessary to administer national competitions, organizational relationships, participants, officials, or other authorized activities.

From officials and supervisors

Judges, supervisors, and other authorized personnel generate scoring records, injury information, event actions, and related operational records.

Through use of the Services

Certain information is generated automatically as events are administered and users interact with the platform.

From authentication providers

When you use an authentication option such as Google Sign-In, information necessary to authenticate the account may be provided through our authentication provider.

From other lawful sources

RingScore may obtain business or organizational information from other lawful sources where appropriate for platform administration and legitimate business activities.


11. How We Use Personal Information

RingScore may use personal information to:

Provide and operate the Services

Including to:

  • create and administer accounts;
  • authenticate users;
  • manage roles and permissions;
  • create and administer events;
  • build fight cards;
  • assign judges and supervisors;
  • record scores;
  • calculate scoring totals and results;
  • maintain event records;
  • operate public event features;
  • support tournament and club operations; and
  • provide related platform functionality.

Maintain official and historical records

Including:

  • event history;
  • athlete competition history;
  • judge event history;
  • scorecards;
  • results;
  • administrative actions; and
  • other competition records.

Support governing-body administration

Including:

  • provincial oversight;
  • national oversight;
  • event review;
  • official development;
  • reporting;
  • recordkeeping;
  • analytics;
  • data integrity; and
  • other activities within an authorized governing relationship.

Protect competition integrity

Including:

  • maintaining accurate records;
  • preserving scorecard history;
  • identifying data inconsistencies;
  • supporting authorized corrections;
  • preventing unauthorized access or modification; and
  • maintaining records necessary to review event activity.

Provide customer support

Including:

  • troubleshooting;
  • implementation assistance;
  • training;
  • responding to inquiries;
  • event-readiness support; and
  • investigating technical problems.

Protect RingScore and its users

Including:

  • security monitoring;
  • fraud and abuse prevention;
  • authentication;
  • investigating unauthorized activity;
  • enforcing agreements;
  • protecting the integrity of the Services; and
  • responding to incidents.

Improve the platform

Including:

  • evaluating system performance;
  • identifying workflow improvements;
  • developing new features;
  • understanding how the platform is used;
  • performing quality assurance; and
  • generating aggregated or de-identified statistics where appropriate.

Communicate with you

Including:

  • service messages;
  • account notifications;
  • security notifications;
  • event-related communications;
  • support communications; and
  • marketing communications where permitted.

Including compliance with applicable laws, lawful requests, contracts, dispute-resolution obligations, and regulatory requirements.


12. Automated Calculations, Scoring, and Analytics

Certain RingScore functionality automatically processes information.

For example, RingScore may:

  • calculate scorecard totals;
  • calculate a bout result from submitted scores according to configured competition rules;
  • generate event statistics;
  • identify scoring patterns;
  • calculate agreement or disagreement metrics;
  • produce judge or event analytics; and
  • generate other derived competition metrics.

Automated calculations are tools used to support the applicable sporting and event workflow.

RingScore does not independently replace the authority of the supervisor, governing body, commission, or other authorized sporting official responsible for certifying an official result or taking regulatory action.

Internal judge analytics are intended to support authorized review, development, oversight, and analysis. RingScore does not publish individual judge analytics through its standard public-facing platform.

RingScore does not use internal judge analytics by itself to automatically suspend, license, discipline, or otherwise determine an official's regulatory status. Those decisions remain with the organization or governing authority responsible for that function.


13. Public Event and Competition Information

Part of RingScore's purpose is to make approved event and competition information available to spectators, participants, media, and the boxing community.

When an event or result is published, public information may include:

  • athlete names;
  • club or gym affiliations;
  • bout matchups;
  • event name;
  • weight class or competition category;
  • bout number;
  • official result or decision; and
  • competition history derived from published events.

Depending on the event settings and decisions of the authorized event or governing organization, RingScore may also display certain scoring information, such as approved live or round-by-round scoring.

Public visibility controls may vary by event.

Information that is not normally public

RingScore's standard public-facing features do not publish:

  • judge names associated with individual scoring records;
  • judge licence identifiers;
  • individual judge profiles;
  • internal judge performance analytics;
  • internal judge statistics;
  • private administrative information;
  • club-directory contact details;
  • injury records;
  • health-related notes; or
  • other information designated as internal or restricted.

Information made public on the internet may be viewed, copied, indexed, archived, or redistributed by third parties outside RingScore's control.

RingScore may restrict or remove information from public display where appropriate while retaining the underlying record internally when retention is necessary for legitimate competition, legal, contractual, or recordkeeping purposes.


14. Organizational and Governing-Body Access

RingScore is designed around a multi-level organizational structure.

Depending on the applicable relationship and permissions, information may be accessible to:

  • a club or gym;
  • an event organizer;
  • a provincial or territorial sport organization;
  • a national governing body;
  • supervisors and officials;
  • authorized RingScore personnel; and
  • other users who have been granted appropriate access.

Access is intended to follow legitimate organizational, governing, contractual, and event responsibilities.

For example:

  • a club administrator may access information relating to that club and its authorized activities;
  • a provincial or territorial administrator may access information relating to clubs, athletes, officials, and events under that provincial or territorial organization;
  • an authorized national governing body may receive read-only visibility across information associated with affiliated provincial or territorial organizations that have been onboarded to RingScore, where that visibility forms part of the applicable organizational configuration and governing agreement.

Such national access does not make the information public.

Where national governing-body visibility is enabled, individual provinces do not necessarily approve each individual record disclosure separately. Access can instead arise from the governing relationship, platform configuration, applicable agreements, and other lawful authority.

RingScore uses role- and organization-based access controls intended to prevent users from accessing information outside their authorized scope.


15. Organizations Providing Information to RingScore

Clubs, event organizers, provincial or territorial organizations, national governing bodies, and other customers may provide personal information to RingScore.

Organizations using RingScore are responsible for ensuring that they have the authority required to:

  • collect the information they enter into RingScore;
  • provide the information to RingScore;
  • use the information for the relevant event or organizational purpose;
  • authorize appropriate users to access the information; and
  • make information public where they instruct RingScore to do so.

If personal information about you was entered through a club, event organizer, or governing body, RingScore may need to coordinate with that organization when responding to a correction, deletion, or other request, particularly where the information forms part of an official competition record.


16. Service Providers and Third Parties

RingScore uses third-party technology providers to operate the Services.

Current providers include:

Supabase

Used for database and related platform infrastructure.

RingScore's primary Supabase deployment is currently configured in the United States under the us-west-2 region.

Clerk

Used for authentication and account-management functionality for certain RingScore users.

Google

Google Sign-In may be made available through Clerk. If you choose Google Sign-In, Google may process information according to Google's own privacy practices.

Vercel

Used for application hosting, delivery, and related infrastructure.

We may also use professional advisers, contractors, infrastructure providers, communication providers, security providers, and other vendors where reasonably necessary to operate RingScore.

Service providers receive only the information reasonably required for the functions they perform, subject to applicable agreements, platform configurations, and legal requirements.

Our service-provider relationships may change as RingScore develops. We will update this Privacy Policy when changes materially affect how personal information is handled.


17. International Processing and Data Location

RingScore is a Canadian company, but not all personal information is stored or processed exclusively in Canada.

Our primary Supabase infrastructure is currently hosted in a United States region (us-west-2).

Other service providers, including authentication and hosting providers, may process information in Canada, the United States, or other jurisdictions in which they or their service providers operate.

As a result, personal information may be subject to the laws of jurisdictions outside your province, territory, or country and may be accessible to courts, governments, law-enforcement agencies, or regulatory authorities in those jurisdictions where legally authorized.

RingScore takes reasonable steps to evaluate its service providers and the privacy and security implications of cross-border processing.

Where applicable law requires additional assessments, safeguards, contractual arrangements, or notices before information is processed outside a jurisdiction, RingScore will take the measures required for the applicable processing activity.

18. Data Retention and Official Records

RingScore does not use a single retention period for every category of information.

Information is retained according to its purpose, sensitivity, operational requirements, contractual requirements, competition-record requirements, and applicable legal obligations.

Account information

Account information may be maintained while an account is active and for a reasonable period afterward where necessary for security, administration, dispute resolution, or other legitimate purposes.

Official competition records

Official competition records may be retained significantly longer than ordinary account information.

These records can include:

  • event records;
  • bout information;
  • athlete participation history;
  • official results;
  • scorecards;
  • round scores;
  • judge assignments;
  • supervisor actions; and
  • related records.

Closing or deleting an account does not automatically delete legitimate competition records associated with that account or individual.

For example, deletion of an athlete account does not necessarily erase that athlete's historical participation in an official event. Similarly, closure of a judge account does not necessarily erase scorecards that form part of an official competition record.

Injury information

Injury information is retained only for as long as reasonably necessary for the purposes for which it was collected, applicable governing-body requirements, event recordkeeping, dispute resolution, legal requirements, or other legitimate purposes.

Because injury records are sensitive, RingScore may apply different retention and access practices to these records than to ordinary event information.

Audience information

Audience Mode information is retained according to the purpose for which it was collected. Marketing contact information may be removed or suppressed when consent is withdrawn, subject to records RingScore must retain to honour the request or demonstrate compliance.

Technical information

Security, activity, and system logs may be retained for periods appropriate to cybersecurity, troubleshooting, fraud prevention, auditing, and operational requirements.

Backups

Information removed from active systems may remain temporarily in protected backups until those backups are overwritten, expire, or are securely destroyed according to RingScore's backup processes.

When personal information is no longer reasonably required, RingScore will take appropriate steps to delete, destroy, anonymize, or otherwise dispose of it as required by applicable law.


19. Corrections to Official Records

RingScore recognizes that maintaining the accuracy and integrity of official competition records can require a different approach from editing ordinary profile information.

If an official record is inaccurate, RingScore may:

  • correct the information;
  • annotate the record;
  • preserve the original entry and record a subsequent correction;
  • require confirmation from an authorized governing body or official; or
  • maintain an audit history showing that a correction occurred.

RingScore may refuse to simply erase or overwrite a historical competition record where doing so would compromise the integrity of an official event record or conflict with a legitimate retention requirement.

Where appropriate, RingScore may restrict public display of information without deleting the underlying authorized record.


20. Data Security

RingScore uses administrative, organizational, and technical safeguards intended to protect personal information against:

  • unauthorized access;
  • unauthorized disclosure;
  • loss;
  • theft;
  • misuse;
  • alteration; and
  • destruction.

Depending on the information and system involved, safeguards may include:

  • authentication controls;
  • account and permission management;
  • role-based access restrictions;
  • organization-based access controls;
  • secure application and infrastructure configuration;
  • security logging;
  • backups;
  • access restrictions for sensitive information;
  • software-development and testing practices; and
  • other technical or organizational controls appropriate to the sensitivity of the information.

Access to sensitive information, including injury information and internal judge analytics, is intended to be limited to users who require access for an authorized purpose.

No internet-connected service can guarantee absolute security. RingScore therefore continually evaluates its systems and practices as the platform develops.

Users are also responsible for protecting their credentials and devices and for notifying RingScore if they believe their account or access credentials have been compromised.


21. Privacy and Security Incidents

RingScore maintains processes for responding to suspected or confirmed privacy and security incidents.

If an incident involving personal information occurs, RingScore may:

  • investigate the incident;
  • take steps to contain it;
  • assess the information affected;
  • evaluate potential harm;
  • remediate vulnerabilities;
  • maintain required incident records; and
  • notify affected individuals, organizations, regulators, law-enforcement authorities, or other parties where required or appropriate.

Organizations using RingScore should promptly notify RingScore if they become aware of unauthorized access to RingScore information, compromised credentials, inappropriate disclosure, or another suspected privacy or security incident.

22. Your Choices and Privacy Requests

Subject to applicable restrictions, you may contact RingScore to request that we:

  • confirm whether we hold personal information about you;
  • provide access to personal information about you;
  • explain how certain personal information has been used;
  • correct inaccurate or incomplete personal information;
  • provide eligible information in an available structured format where appropriate or required;
  • withdraw consent for certain optional uses;
  • stop sending marketing communications;
  • close your account;
  • delete personal information that RingScore is no longer required or permitted to retain;
  • review the continued public display of information relating to you; or
  • address another privacy concern.

RingScore may need to verify your identity before completing a request.

We may also need additional information to identify the relevant records.

If information was provided by or forms part of the records of a club, event organizer, provincial or territorial organization, or national governing body, RingScore may coordinate with that organization before changing an official record.

Certain requests may be limited where RingScore is required or permitted to retain information for:

  • official competition records;
  • legal obligations;
  • contractual obligations;
  • security;
  • fraud prevention;
  • dispute resolution;
  • protection of the rights of another person;
  • governing-body recordkeeping; or
  • another lawful reason.

Where an individual has rights relating to portability, cessation of dissemination, de-indexing, or similar matters under applicable privacy law, RingScore will process eligible requests in accordance with those requirements.


RingScore seeks consent where consent is required for the relevant collection, use, or disclosure of personal information.

Consent may be express or may take another form permitted by law depending on:

  • the sensitivity of the information;
  • the purpose;
  • the individual's reasonable expectations;
  • the way the information was collected; and
  • applicable legal requirements.

Certain information is necessary to provide the Services.

For example, RingScore cannot administer an official bout without maintaining the athlete identities, event information, and scoring records necessary to operate that bout.

You may withdraw consent for optional processing by contacting RingScore or using available account controls.

Withdrawal of consent does not necessarily require RingScore to delete information that was lawfully collected previously or that must continue to be retained for an authorized purpose.

Withdrawal may also affect RingScore's ability to provide a feature or service.


24. Children and Youth Athletes

RingScore supports competitions that may involve youth athletes.

Athlete information is generally provided to RingScore by:

  • clubs;
  • event organizers;
  • provincial or territorial organizations;
  • national governing bodies; or
  • other authorized event administrators.

RingScore does not rely on young athletes independently creating accounts as the primary method of establishing athlete competition records.

Organizations that provide information relating to a minor are responsible for ensuring that they have the authority, consent, or other lawful basis required to collect and provide that information for event, membership, competition, governing, or related purposes.

Where RingScore directly seeks consent from a minor, RingScore will consider the individual's age, capacity to understand the nature and consequences of the processing, the sensitivity of the information, and applicable legal requirements.

Where parental or guardian consent is legally required, RingScore will require that consent before carrying out the processing activity concerned.

RingScore encourages parents, guardians, clubs, and governing organizations to contact us if they believe information concerning a young person has been collected, disclosed, or used inappropriately.


25. Marketing Communications

RingScore may send service-related communications that are necessary to operate the Services, including:

  • account notices;
  • security notices;
  • event communications;
  • operational updates;
  • support messages; and
  • material changes affecting the Services.

These communications are different from promotional marketing.

RingScore sends promotional electronic communications where we have the appropriate consent or other authority permitted by law.

Marketing messages will include an available method to unsubscribe where required.

If you unsubscribe from marketing, RingScore may retain enough information to record and honour your preference.

Event-organizer marketing

RingScore does not treat participation in Audience Mode as automatic permission for an event organizer to market to the participant.

Where an organizer wishes to receive audience contact information for marketing, RingScore may present a separate choice allowing the participant to authorize that disclosure.

RingScore marketing

Consent to receive marketing from an event organizer is separate from consent to receive marketing from RingScore.


26. When We Disclose Personal Information

RingScore may disclose personal information in the following circumstances.

To authorized organizations and governing bodies

As described in this Privacy Policy, information may be made available to authorized clubs, organizers, provincial or territorial organizations, or national governing bodies according to the individual's participation, organizational relationship, platform permissions, and applicable agreements.

To service providers

RingScore provides information to technology and operational providers where necessary for them to provide services on our behalf.

Through public event features

Approved event and result information may be published as described in Section 13.

At your direction or with your authorization

We may disclose information when you instruct us to do so or authorize a disclosure.

RingScore may disclose information where reasonably necessary to:

  • comply with applicable law;
  • respond to a legally valid request;
  • comply with a court order;
  • cooperate with regulatory or law-enforcement authorities;
  • establish, exercise, or defend legal claims; or
  • protect the rights, safety, or security of RingScore, our users, participants, or others.

Corporate transactions

If RingScore is involved in a financing, merger, acquisition, reorganization, sale of assets, or similar corporate transaction, personal information may be disclosed to prospective or actual parties to the transaction where permitted and subject to appropriate safeguards.


27. We Do Not Sell Personal Information

RingScore does not sell personal information to data brokers or other third parties for monetary consideration.

We also do not rent personal information to third parties for their independent marketing purposes.

The organizational access described in this Privacy Policy, such as access by a provincial organization or national governing body, is part of RingScore's competition-management and governance functionality and is not a sale of personal information.


28. Third-Party Websites and Services

RingScore may link to websites, streaming platforms, social networks, event pages, payment services, governing-body systems, or other services operated by third parties.

RingScore does not control the privacy practices of independent third parties.

Information you provide directly to those third parties is governed by their privacy policies and terms.

We encourage you to review those policies before providing personal information.


29. Changes to This Privacy Policy

RingScore may update this Privacy Policy as:

  • the platform changes;
  • new features are introduced;
  • our service providers change;
  • our organizational relationships evolve;
  • privacy laws change; or
  • our privacy practices otherwise change.

The date at the top of this Privacy Policy identifies when it was last updated.

If we make a material change, we may provide additional notice through the Services, by email, on our website, or through another appropriate method.

Where applicable law requires new consent for a materially different use of personal information, updating this Privacy Policy alone will not replace that consent.


30. Privacy Complaints

If you have a concern about RingScore's handling of personal information, please contact our Privacy Officer first so that we can review the issue.

Please include enough information for us to understand the concern and identify the relevant records or account.

We will review privacy complaints in good faith and respond in accordance with our applicable obligations.

You may also have the right to make a complaint to the privacy regulator with jurisdiction over your matter.

Plain-Language Summary

RingScore collects only the information reasonably needed to operate a digital scoring and competition-management platform and related services.

In particular:

  • clubs and governing organizations may enter athlete and official information into RingScore;
  • official competition records may remain in RingScore even if an individual account is later closed;
  • certain approved athlete and result information may be public;
  • judge identities connected with individual scoring records and internal judge analytics are not publicly displayed through RingScore's standard public features;
  • injury records are treated as sensitive and are not publicly displayed;
  • authorized provincial, territorial, and national governing bodies may receive access to information according to their governing role and applicable RingScore agreements;
  • an authorized national governing body may receive read-only access across affiliated onboarded provincial or territorial organizations where that access is part of the platform configuration and governing agreement;
  • RingScore's administrative club directory is not a public directory;
  • RingScore's primary database infrastructure is currently hosted in a United States region;
  • RingScore uses Supabase, Clerk, Vercel, and Google Sign-In through Clerk as part of its current technology infrastructure;
  • Audience Mode participation does not automatically enroll a spectator in marketing from RingScore or an event organizer;
  • RingScore does not sell personal information to data brokers; and
  • privacy questions and requests can be sent to privacy@ringscore.ca.
